Alegent Health faced escalating standards for secure handling of patient information and more stringent guidelines for equipment and facilities auditing. These requirements were mandated by the Health Insurance Portability and Accountability Act (HIPAA) and the Joint Council on Accreditation of Healthcare Organizations (JCAHO). The existing systems were insufficient to meet these new demands, prompting Alegent to embark on a new IT initiative. The challenge was to extend the capabilities of their existing ARCHIBUS applications to closely track key IT and healthcare assets for compliance. This required a shift from a departmental to an enterprise-level approach, involving the corporate IT department in planning and rolling out new functionalities.

To address the challenges, Alegent Health extended its use of ARCHIBUS applications to include Telecom & Cable Management and enhanced the Furniture & Equipment Management application. The corporate IT department took over the planning and roll-out, creating new screens for surgery and catheter equipment inventory. The project involved documenting user needs, defining standardized reporting formats, and establishing uniform auditing methods. The expanded ARCHIBUS solution included new security features, improved content control and delivery, screen personalization, and the introduction of PDAs and barcoding. These enhancements provided greater flexibility in data collection and sharing while ensuring data security and compliance.

The hospital supply chain team is responsible for ensuring that the right medical supplies are readily available to clinicians when and where needed, and to do so in the most efficient manner possible. However, many of the systems and processes in use at the cancer center for supply chain management were not best suited to support these goals. Storage of supplies was also a key consideration given the location of the cancer center’s facilities in a dense urban setting, where space is always at a premium. In order to address the challenges outlined above, the hospital sought a solution that would provide real-time inventory information with high levels of accuracy, reduce the level of manual effort required and enable data driven decision making to ensure that the right supplies were readily available to clinicians in the right location at the right time.
