About The Customer
Rosetti Marino Group is an Italy-based engineering and construction company that provides services both onshore and off for gas and oil, and ship-building companies around the globe. The company coordinates large-scale, complex projects and recently upgraded from Lotus Notes to SharePoint to improve their operational efficiency. Despite having a small IT team of just 10 people, the company is committed to leveraging technology to streamline their processes and increase collaboration with partners.
The Challenge
Rosetti Marino Group, a global provider of construction and engineering services for gas, oil, and ship-building companies, was facing challenges in managing large-scale, complex projects. The company was transitioning from Lotus Notes to SharePoint and realized the need for automated workflows to streamline project site permissions and document management. The process of creating project sites and assigning permissions was time-consuming and prone to errors. Moreover, the document approval process was inefficient, with documents often sitting on desks or in email inboxes for days or weeks awaiting approval.
The Solution
Rosetti Marino Group turned to Nintex, a no-code solution, to automate their workflows. Once a project team list is created in Word, it is used to automatically generate the project folder and permissions for project sites. Nintex Workflow also manages the document approval process, significantly reducing the time taken for approvals. The Nintex’s LazyApproval feature makes responding easy for users, taking the process from days or weeks to minutes. Additionally, Nintex Workflow transfers the approval document to a readable SharePoint library, making the transition from Lotus Notes to SharePoint seamless. Looking forward, the company plans to develop an employee onboarding system that would automate new employees’ Active Directory set-up and explore automatic integrations with SAP data.
Operational Impact
  • The implementation of Nintex has brought about significant operational improvements for Rosetti Marino Group. The automation of project site creation and permission assignment has eliminated errors and saved considerable time. The document approval process has been streamlined, with approvals now taking minutes instead of days or weeks. The transition from Lotus Notes to SharePoint has been made seamless with Nintex, and the company is now able to handle document management and archiving more efficiently. The no-code solution has also freed up the developers' time for other projects, increasing the overall productivity of the IT team.
Quantitative Benefit
  • No-code solution saves 50% of developers’ time
  • Increased collaboration with partners
  • Significant reduction in time taken for document approval process
