Holland Management operates four long-term care and senior living properties in Northeastern Ohio, including The Country Club Retirement Campus in Ashtabula. This campus provides a continuum of care services such as senior apartments, assisted living, rehabilitative therapy, skilled nursing, and home health care. With over 100 staff members, the campus cares for 135 residents, focusing on person-centered care to enhance their health and quality of life. The Challenge
The Country Club Retirement Campus at Ashtabula faced significant operational challenges, primarily due to overstaffing and inefficient scheduling processes. The manual, paper-based scheduling system led to peaks in staffing across various departments, resulting in high labor costs without necessarily improving care quality. Department heads were overwhelmed with paperwork related to staff scheduling, which consumed valuable time that could have been spent on core responsibilities. Additionally, the lack of visibility into staffing needs and the impact of schedule updates made it difficult for management to make informed decisions. This situation was further complicated by the need to manage unexpected absences, time-off requests, and fluctuating resident needs, which often led to overtime costs and employee dissatisfaction.
The Solution
Holland Management implemented OnShift staff scheduling software to automate and optimize their scheduling processes. Department heads were re-tasked with their core responsibilities, while Crews Directors took over scheduling duties. OnShift allowed the campus to align staffing with resident census and HPPD (hours per patient day), ensuring appropriate staffing levels across all departments. The software provided real-time visibility into staffing needs, enabling quick adjustments to schedules based on census changes. OnShift's automated scheduling features, such as open shift notifications and overtime controls, further streamlined the process. Integration with ADP eTime provided deeper insights into actual hours worked and assisted with overtime prevention and analysis.

The hospital supply chain team is responsible for ensuring that the right medical supplies are readily available to clinicians when and where needed, and to do so in the most efficient manner possible. However, many of the systems and processes in use at the cancer center for supply chain management were not best suited to support these goals. In order to address the challenges outlined above, the hospital sought a solution that would provide real-time inventory information with high levels of accuracy, reduce the level of manual effort required and enable data driven decision making to ensure that the right supplies were readily available to clinicians in the right location at the right time.
