About The Customer
The US Department of Veteran Affairs (VA) is a federal agency responsible for providing vital services to America's veterans. With one of the largest and most complex IT environments in the world, the VA manages over 500,000 unique computing resources, including mobile devices, medical devices, workstations, BYOD systems, servers, and clustered environments. The VA's IT infrastructure supports a wide range of services, from healthcare to administrative functions, making it critical to maintain efficient and compliant software management. The VA licenses and operates numerous inventory and management tools, including Microsoft’s Configuration Manager, IBM’s BigFix, and VMware’s vCenter, to manage its extensive IT assets. The agency's commitment to improving its IT operations is evident in its efforts to achieve a FITARA A rating for Software Licensing under the MEGABYTE Act.
The Challenge
The US Department of Veteran Affairs (VA) faced significant challenges in managing one of the largest and most complex IT environments globally. With over 500,000 unique computing resources, including mobile devices, medical devices, workstations, BYOD systems, servers, and clustered environments, the VA struggled with software discovery, deployment, and usage calculations. The complexity was further compounded by the need to handle virtualized and clustered environments, making software licensing and compliance a daunting task. The VA's goal was to achieve a consolidated, de-duplicated, and normalized view of their entire IT environment, which required managing at least 300 million records of input data from multiple sources. Conventional inventory and management tools were inadequate for the scale and complexity of the VA's environment, leading to fragmented data and inefficiencies.
The Solution
To address the challenges of managing its vast and complex IT environment, the VA implemented the 1E AppClarity solution. AppClarity is a Software Asset Management (SAM) tool designed to handle the volume and complexity of large IT environments. The solution enabled the VA to consolidate data from 20 different sources into a single pane of glass view, providing a comprehensive and normalized view of all software installations, usage, and licensing requirements. AppClarity's intelligent de-duplication and data validation capabilities ensured accurate and reliable data, while its ISO standards-based entitlement repository allowed the VA to track any license metric from any vendor for any product. The solution also provided drill-through reports for analyzing software installations in clustered and virtualized environments, making it easier to manage complex licensing scenarios. Additionally, AppClarity's ability to automatically uninstall unused software based on usage and organizational policies helped the VA reduce software licensing costs and improve cybersecurity.
Operational Impact
  • The VA achieved a consolidated view of its IT environment by integrating data from 20 different sources into a single pane of glass, simplifying software management and compliance.
  • AppClarity provided comprehensive reports on software installations, usage, and licensing requirements, enabling the VA to manage its software assets more effectively.
  • The solution's drill-through reports allowed the VA to analyze software installations in clustered and virtualized environments, addressing complex licensing challenges for products from vendors like Oracle, IBM, and Microsoft.
  • With the ISO standards-based entitlement repository, the VA could track any license metric from any vendor, ensuring accurate license compliance and reducing the risk of software audits.
  • AppClarity's automated software uninstallation feature helped the VA lower software licensing costs and improve its cybersecurity posture by removing unused applications.
Quantitative Benefit
  • The VA managed more than $3 billion in software licenses using the 1E entitlement repository.
  • The VA achieved a FITARA A rating for Software Licensing under the MEGABYTE Act over the last two rating cycles.
  • The VA's implementation of AppClarity allowed for the consolidation of 20 data sources into a single view, significantly improving data management efficiency.
