About The Customer
The Bavarian Tennis Association (BTV) is a prominent sports association in Germany, ranking third among sports associations, only behind soccer and gymnastics. With around 300,000 members, the BTV is the largest state association within the German Tennis Federation. In 2020, the BTV moved into a newly built building on the grounds of TennisBase near Munich, a performance center known throughout Germany and internationally. The association has a central accounting department and various departments including administration, mass sports and coach training, youth development, competitive sports and tournament operations, public relations, finance, and IT.
The Challenge
The Bavarian Tennis Association (BTV), one of the largest sports associations in Germany, embarked on a modernization journey in 2020. As part of this initiative, they aimed to make their structures more efficient, improve workflows, and accelerate coordination and decision-making processes. The association was looking for a solution that could help them redesign their administrative processes and make them more efficient. They wanted a solution that was easy to calculate, required minimal installation and maintenance effort, and offered a wide range of customization options.
The Solution
The BTV chose DocuWare's preconfigured cloud solution to redesign their administrative processes. The solution was selected after four weeks of testing and was implemented on July 1, 2020. DocuWare's solution is based on the experience gained from thousands of digitization projects and can be quickly adapted to a variety of operational environments. It comes with preconfigured workflows and interfaces and integrations with other widely used applications, such as the DATEV accounting system used by BTV. The solution enabled BTV to quickly implement incoming A/P invoice processing. Invoices are scanned, automatically indexed, and stored in a digital inbox. They are then automatically forwarded to various departments for technical verification. The solution also maps out authorization workflows, making internal approval processes digital, transparent, and traceable.
