Shearwater Health is a clinical process outsourcing company that hires hundreds of healthcare professionals. They specialize in providing healthcare staffing solutions and have a significant focus on improving their recruitment processes. The company faced challenges in efficiently managing their referral programs and sought to enhance their hiring performance. With a dedicated team of recruiters, Shearwater Health aimed to streamline their recruitment process and improve the conversion rates of referrals. By leveraging technology and innovative solutions, they aimed to address the bottlenecks in their recruitment workflow and ensure a seamless experience for both candidates and recruiters.

The team was experiencing a low conversion of referrals. There were two factors behind this. First, the recruitment team was made up of 5 recruiters who did everything from sourcing, call-outs, interviews, and everything in between. The team didn’t have enough bandwidth to get back to every candidate within 24 hours of their application. This slow response time caused many candidates to drop off and seek opportunities elsewhere. Second, candidates coming from referrals were asked to go through the same recruitment stream as general applicants. Recruiters would have in hand the name of these referrals in advance but would have to wait for them to turn in their applications through the website. This meant that the team had little control over the situation and that candidates got to decide when they would apply - if they would apply. Previously, the team collected referral through email, validating each referral one by one and checking for duplicate applications. Having all of the candidate information from referrals and other sources in Talkpush meant that recruiters could immediately identify the original source for each candidate and avoid conflicts in channel attribution.

Now, referrals are being collected through a short form that can be accessed through QR codes. Once the referrer submits the form, a profile for the referral is automatically created in Talkpush and synced with any pre-existing applications. Recruiters can cross-check applications at a glance, saving them hundreds of hours annually. When a new profile is created, an automated message is sent out, inviting the referral to answer some pre-screening questions. This establishes a direct line of communication between the referral and the recruiter on their preferred communication channel. Be it in Facebook Messenger, SMS, or email. Moreover, recruiters can now focus on follow-ups to ensure that each lead is converted into an applicant. With the assistance of automated workflows and reminders, all candidates are informed within the same day if they have made the shortlist. They continue to receive real-time updates on their application throughout the process. This has reduced the volume of inquiries in-between steps and allowed the team to process more leads in less time.
