About The Customer
The City of Richmond, located on Canada's west coast, serves approximately 200,000 residents. Over the past several years, the city has transformed itself from a rural, local community to an international city with a balance of urban, suburban, and rural areas. The city's recreation division offers a wide variety of programs – from day camps to swimming, dancing, and skating lessons. These programs, available to citizens of all ages, are held at more than 20 venues, including arenas, community centers, public pools, cultural/heritage facilities, and more than 90 city parks. Unlike other cities, Richmond partners with a variety of local community associations to make these services available to its residents.
The Challenge
The City of Richmond, Canada, faced a challenge with its new online community registration system, Class. While the system was efficient at tracking registration courses, accounts, and payments, it lacked the functionality to transfer financial data to community associations. This was a crucial aspect of the city's operations, as it determined how much money needed to be sent to the various community associations the city worked with. The city needed a solution that would enable seamless information-sharing between the registration and financial management systems and create daily financial reports to help finance staff manage registration payments and distribute funds to community groups.
The Solution
The City of Richmond deployed the WebFOCUS business intelligence (BI) platform from Information Builders to move data from its new Class registration system into a PeopleSoft financial management system. This made it easy to identify which payments belong to the city, and which belong to the associations. Each day, WebFOCUS generates a report from the PeopleSoft system, detailing new registration payments and highlighting the ones that belong to community associations. Based on the data in that report, appropriate funds are then quickly sent to the correct accounts. The city also used WebFOCUS to build a simple and intuitive dashboard that gives managers in its community centers and district offices a high-level view of registration trends. This information helps them make better, smarter decisions about how they operate to meet community needs.
