About The Customer
Telefónica de España is the largest telecommunications operator in the Spanish and Portuguese-speaking world, with a presence in 50 countries across five continents. The organization has an extensive real estate portfolio, managed by the Telefónica Inmobilario (TI) group. The TI group is responsible for property management, administration, projects, and building operations. With over 7,500 properties in Spain alone, including offices, commercial spaces, and telecom facilities, the group needed a comprehensive solution to manage its real estate assets efficiently. The GAIN (Gestor de Activos INmobiliarios) project was initiated to achieve this goal, ultimately saving the company over $1 billion.
The Challenge
The Telefónica Inmobilario (TI) group faced the challenge of managing an extensive real estate portfolio spread across 50 countries. The primary issues included geographical disparity of employees and locations, incomplete and scattered property data, and the need for a consolidated view of all real estate assets. The existing data was fragmented across multiple databases, making it difficult to manage space usage, lease contracts, and building operations efficiently. The TI group aimed to bring all this information together in one system to save time and money, optimize space usage, and provide a self-service portal for employees and subcontractors.
The Solution
The TI group implemented the GAIN project using ARCHIBUS as the primary tool to consolidate and manage its real estate assets. The project involved collecting and refining data from various sources, including Access databases and CAD drawings, and integrating them into a centralized system. The group also developed a self-service portal for employees and subcontractors, allowing them to access and manage space usage information, lease contracts, and building operations. The IT department played a crucial role in maintaining standards and processes, ensuring the system's reliability and support. DBAssociates of Belgium assisted in overcoming internal resistance and establishing management commitment to the project.
