Swiss Hospital is a large healthcare provider in Switzerland. When the COVID-19 pandemic struck, the hospital faced a sudden increase in demand for daycare services for its employees' children. With public and private sector daycare centers closing, the hospital had to expand its onsite daycare centers from one to five to accommodate the increased demand. The hospital's employees, most of whom are healthcare workers, had to continue working onsite, making the daycare services essential. The hospital needed a new, efficient way to manage the registration and management of its daycare services.
The Challenge
When the COVID-19 pandemic hit, Swiss Hospital, a large healthcare provider in Switzerland, faced an unprecedented demand for daycare services for its employees' children. With public and private sector daycare centers closing, the hospital had to expand its onsite daycare centers from one to five to accommodate the increased demand. However, the existing system for managing daycare services, which involved a mix of phone calls, emails, and spreadsheets, was no longer practical due to the increased complexity and volume. The hospital needed a more efficient, digital solution to handle the registration and management of its daycare services.
The Solution
Swiss Hospital partnered with Nintex solutions provider, Bechtle Suisse SA, to create a series of Nintex Forms and Nintex Workflows to manage the previously manual processes. The solution involved three Nintex-based forms for each step of the process: request creation, request validation, and request confirmation follow-up. The dynamic Nintex Form guided employees through the childcare application process, collecting information on the days and times for which the employee wished to register the child. Nintex Workflow then notified childcare services managers of the request, allowing them to accept or decline it based on availability and other parameters. If approved, Nintex Workflow automatically updated a SharePoint calendar to include the child on the daycare schedule and sent a response to the employee. A second form was then sent to the employee for additional information on the child's needs and the name of the person authorized to pick up the child.
Operational Impact
  • The implementation of Nintex Forms and Nintex Workflow has significantly improved the efficiency of Swiss Hospital's daycare services management. The hospital was able to quickly accommodate the increased demand for daycare services, allowing its employees to continue working. The new system has also reduced the time that employees need to complete forms and get responses, as well as the time that managers need to handle the forms. The hospital has been able to handle the increased demand with fewer daycare services managers, reducing the number from five to two. The new system has also fostered closer collaboration and trust between business managers and IT staff, with several departments requesting a Nintex makeover of their forms and workflows.
