The Challenge
Scripps Networks faced significant challenges with their manual conference room scheduling system. The system, managed by a single receptionist using a spreadsheet, was labor-intensive and prone to errors such as double-booking and missed equipment requests. This inefficiency was particularly problematic given the high frequency of meetings across their multiple locations in Knoxville, New York, and Los Angeles. The manual system was not only time-consuming but also failed to provide easy access to scheduling information for meeting participants, leading to less productive meetings overall.
The Solution
To address these challenges, Scripps Networks implemented the ARCHIBUS Room Reservations application, a Windows-based solution integrated with ARCHIBUS Web Central and Space Management. The new system allowed for self-service scheduling, enabling employees to book conference rooms via the corporate intranet. Users could search for available rooms with the necessary amenities, view floor plans, and receive automatic email notifications upon reservation confirmation. The implementation process involved training 'power users' from the ranks of executive assistants and other key personnel, who tested the system and provided feedback for further refinement. The ARCHIBUS Solution Center – Research Triangle played a crucial role in customizing the application to meet Scripps' specific needs.
