One of Canada’s leading investment firms was manually aggregating spreadsheet exports from their source systems to validate its management fee revenue. This was a time-consuming and error-prone process. The firm needed a more efficient and accurate way to handle their financial data to free up time for more value-added tasks.
The Challenge
The Finance team was exporting spreadsheets from multiple source systems and manually aggregating them, which was error-prone and time-consuming. This left little time for value-added work such as proper reporting and analysis. Additionally, the team had to manually compare spreadsheet versions to ensure consistency, further complicating the process.
The Solution
Vena’s central, secure data repository stores the organization’s most up-to-date spreadsheets, templates, business drivers, assumptions, and more, automatically bringing in data from their source systems daily. Spreadsheets containing financial data are fed into a SQL table by the Finance team, and powerful ETL processes seamlessly load this data into the central repository. The Finance team can then use up-to-date data from the repository to build dynamic templates and reports that are automatically updated when changes are made. Additionally, a detailed audit trail date-, time- and user-stamps all changes made to a spreadsheet, and a formal workflow engine allows management to assign tasks and deadlines to users, tracking their progress in real time. Email notifications are sent to both managers and users when deadlines are missed or tasks are completed.
