About The Customer
Pittsburgh National Corporation (PNC) Bank is one of the oldest and most respected banks in the industry, with roots tracing back to the 1850s. The bank has over 60,000 employees and £197 in assets, with more than 2,500 branches in 13 states across the United States. PNC also has an international presence in Canada and Europe. From its local banking roots, PNC has developed into one of the leading providers of financial services in the country, receiving both regional and national recognition for its accomplishments. As regulations on this highly scrutinised industry continue to increase, PNC knew they would need to improve transparency and handling capability of their policies and procedures.
The Challenge
PNC Bank, a leading provider of financial services in the United States, was facing challenges with managing their policies and procedures. They had made significant investments in Lotus Notes® and an intranet website to manage their documents, but neither system met their high standards. The overlap between the applications created confusion and version control issues. From a compliance perspective, the lack of clarity, consistency, and readership metrics was an unacceptable risk for the institution. They needed a document management system with intuitive versioning controls, powerful search and tagging features, and compliance-savvy reporting tools. In addition to these internal challenges, PNC Bank also needed to comply with a wide variety of regulations such as The Bank Secrecy Act of 1970, Sarbanes–Oxley Act of 2002, Anti-money Laundering (1986, 1992, 1994, 1998), and Dodd-Frank Wall Street Reform and Consumer Protection Act of 2010.
The Solution
After extensive research, PNC selected NAVEX Global’s PolicyTech™ policy management software. The software offered clear advantages across all of their pain points, and opportunity for significant process improvements. The software provided sophisticated, yet easy to understand document organisation structures, automated document creation, review, approval and distribution, and centralised document consistency and control with robust linking/cross referencing between documents. It also offered more effective employee training methods, user-friendly software design that understands how people work, more robust, accurate and dependable search function and results, and complete audit trail and version controls, including powerful archival processes. After implementing the system, PNC realised a wide range of benefits company-wide, as well as for individual employees.
Operational Impact
  • The audit trail provided by the software was beneficial for PNC, allowing them to show the control path from one version to the next as documents are updated.
  • The software's digital signatures helped PNC keep track of who is approving documents and who has read them.
  • The database provided by the software was well-organised and easy to use.
  • The system actively reinforced PNC's workflow and security, keeping them in line with best practices without them having to think about it.
