About The Customer
The Ministry of Health Denmark is the governing body for Denmark's national healthcare system. It is responsible for maintaining the country's healthcare policy and services for the elderly. The Ministry employs over 2,000 people and its productivity is integral to its ability to effectively serve the citizens of Denmark. The Ministry's IT department was tasked with the challenge of migrating from SharePoint 2003 to the cloud, requiring a new workflow automation tool to migrate its existing Lotus Notes workflows.
The Challenge
The Ministry of Health Denmark, a government body responsible for the national healthcare policy and services for the elderly, faced a significant challenge. With over 2,000 employees, the Ministry needed to update and migrate more than 30 business processes running on outdated platforms like SharePoint 2003 and Lotus Notes to the cloud. The migration was crucial to maintain the agency's productivity and effectively serve the citizens of Denmark. The IT department was in search of a new workflow automation tool that could facilitate the migration of its existing Lotus Notes workflows to the cloud. The tool needed to be flexible and scalable to help the organization grow and maintain their automated processes.
The Solution
The Ministry of Health Denmark collaborated with ProActive, a Nintex Partner, to implement the business process migration. ProActive reviewed the Ministry's processes and implemented the migration with Nintex for Office 365. The project began with a thorough review of the agency’s legacy Lotus Notes workflows and SharePoint 2003 architecture. The aim was to translate the business demands into effective and efficient workflows. ProActive designed 33 new workflows, some of which were combined into larger, more flexible workflow solutions. One of the processes updated included the agency’s job requisition and onboarding processes. ProActive also provided training to support Nintex adoption for the agency’s super users and central stakeholders.
Operational Impact
  • The migration to Nintex for Office 365 has resulted in a more flexible and scalable solution for the Ministry of Health Denmark. The Ministry can now update and maintain processes independently, which has significantly improved their operational efficiency. The new workflows have better support and integration with Office 365, making them more user-friendly and efficient. The training provided by ProActive has empowered the Ministry's employees to update and maintain their own processes with ease. This has not only improved the productivity of the staff but also the overall efficiency of the Ministry.
Quantitative Benefit
  • Migrated over 30 business processes to the cloud
  • Designed 33 new workflows
  • Saved on licensing and consulting costs by migrating to Nintex from Lotus Notes
