About The Customer
The King Hussein Cancer Foundation (KHCF) is an independent non-governmental organization committed to delivering quality, extensive medical care, education, and research. The foundation aims to spread public awareness on early cancer detection while offering the highest quality of care to cancer patients in Jordan and the region. The foundation is also involved in scientific research and fundraising, handling extensive confidential data in the process. The Board of Trustees, chaired by HRH Princess Ghida Talal, plays a significant role in the foundation's operations and decision-making processes.
The Challenge
The King Hussein Cancer Foundation (KHCF), a non-governmental organization dedicated to cancer care, education, and research, was in search of a user-friendly, customizable, and secure platform for handling their extensive confidential data. The foundation required a tool with a document vault where they could store all sensitive documents with high security yet fully accessible. The need for a secure platform was driven by the nature of their work, which involved handling confidential discussions and files, scientific research, and fundraising. The decision to find a new tool was made after several discussions among the Board of Trustees and other executives of the KHCF.
The Solution
The solution came in the form of Convene, a board management software recommended by the Board of Trustees members who had used it on other boards. Convene's powerful Document Library allowed the KHCF and its board members to securely store and access medical data and records. The software also provided the ability to apply copy restrictions, watermarks, and multi-level encryption, ensuring the safety of all their files. Convene's permission-based settings allowed the KHCF team to manage confidential files seamlessly, setting restricted user permissions on folders and individual documents. Additionally, the team could conveniently create and share documents with all members without file size restrictions. The software also offered an e-Signature feature, enabling quick signing workflows and easy management and tracking of documents.
Operational Impact
  • The implementation of Convene has significantly improved the foundation's operations. The ability to securely store, access, and manage confidential files has streamlined their workflows, making them more efficient. The unrestricted file size has facilitated the easy exchange of large documents among team members. The e-Signature feature has simplified the document signing process, allowing Board Executives to review and sign documents without any issues. Moreover, the support and training provided by Convene have been highly praised, with the team transitioning smoothly to the new system. The user-friendly interface and easy setup process have been particularly beneficial for their board meetings.
