About The Customer
The King Hussein Cancer Center (KHCC) in Amman, Jordan, is the only specialized cancer hospital in the Middle East treating both adult and pediatric patients. Founded in 1997, KHCC is a non-governmental, not-for-profit comprehensive hospital dedicated entirely to cancer care. It has a capacity of 180 beds and currently treats more than 2300 new patients per year. Approximately 75% of patients seeking medical care at KHCC are from Jordan and 25% from neighboring countries in the Middle East. In addition, the high standard and technology-driven hospital provides valuable information to not only cancer researchers from the Middle East but to researchers from around the world. In February 2006, the JCI (Joint Commission International) awarded KHCC its accreditation, acknowledging that KHCC meets all the international standards requirements designed to improve the quality of health care.
The Challenge
The King Hussein Cancer Center (KHCC) in Amman, Jordan, is a specialized cancer hospital treating both adult and pediatric patients. The operations at KHCC, like all hospital operations, are very paper-intensive. These paper-based documents are generated from multiple departments within KHCC such as clinics, wards, pharmacy, etc. The paper documents contain comprehensive information about cancer patients who receive treatment in the hospital and represent authenticated reference history for all patients. The Medical Records Department at KHCC is responsible for keeping all paper-based documents of all patient files and ensures that they are available upon request. However, its paper-based patient records can only be accessed from 8:30 am to 5:00, Saturday through Wednesday. These records needed to be requested in advance of appointments and were physically delivered to the various clinics. Records that were missing, misfiled or with another clinic were a hindrance to providing day-to-day quality care to the patients.
The Solution
Image Technologies (ITEC), a long time DocuWare Partner in the Middle East Region, assisted KHCC with the implementation and integration of the DocuWare Document Management System as the electronic document repository portion of its Enterprise Hospital Management Information System. The implementation of DocuWare in KHCC was an enterprise scale project. ITEC’s implementation team interviewed KHCC’s employees across all departments and functional areas to determine how paper records were being used in providing services. The information gathered from the interviews was invaluable in helping ITEC’s implementation team to develop the appropriate index criteria. With the implementation of DocuWare all documentation – whether their origins were papers or electronic – can now be made available electronically anytime. DocuWare’s open architecture and software developer kit allowed KHCC to smoothly integrate DocuWare with KHCC’s Hospital Information Management System to meet their unique requirements.
Operational Impact

  • Efficient indexing and straightforward document retrieval and document storage which further increasing the quality of the record by reducing human error.
  • All prescriptions, medical orders and patient records all appear on computer screens instead of in print and in physical files, the nurses or pharmacists can simply stamp “received” or “noted” onto the document.
  • A complete new workflow has created complete reliability: the solution does not allow anyone to forget, loose or misplace any document pertaining to a patient’s health.
  • Any patient’s records can be set by administrators to complete privacy and only viewed by specifically chosen doctors or nurses, if insisted upon by the patient.
