Interlázaro is a family-owned business that has been producing fresh fruit in the Saragozza region of Spain for three generations. The company operates on 800 hectares of land and employs 200 permanent staff. Each year, Interlázaro produces over 40 million kilos of fruit, including apples, pears, peaches, nectarines, cherries, figs, and plums. The company's mission statement is to combine yesterday's traditions with today's knowledge and visions for tomorrow. Despite its success, Interlázaro faced challenges in managing documents due to the geographical distance between its fields and administrative office.
The Challenge
Interlázaro, a family business producing fresh fruit in the Saragozza region of Spain, faced logistical challenges due to the geographical distance between their fields and administrative office. They had to handle up to 60 invoices and delivery notes per day, which were sent back and forth between the office and the orchards. Documents were often forwarded with a time delay or were lost completely, especially when several people were involved. This posed a significant challenge for internal approval processes, as the employees responsible were also working in various fields.
The Solution
Interlázaro introduced DocuWare Cloud, a document management system, to solve their logistical challenges. The system was initially set up to use digital stamps when booking incoming invoices and was gradually extended to all purchasing processes, including archiving contracts and tariff sheets. Field chiefs could scan incoming delivery notes using a smartphone app and transfer them to the system. Administrative employees would then see the incoming receipts in their digital mail baskets and take over indexing and filing. All the documents relating to an invoice could be called up at the push of a button, which was particularly beneficial for the subsequent approval process. Once the invoices were distributed to the various departments, the field chiefs were informed by email and could approve them directly on their smartphone or tablet.
