Virginia Beach City Public Schools (VBCPS) is the largest school division in Hampton Roads and continues to outperform school divisions across the nation on key academic indicators. They are responsible for a total of 86 school centers, split between elementary, middle, high, charter, and specialty schools. The fleet management team is responsible for over 650 buses that may be on the road daily, though their total number of managed assets is higher. They manage approximately 1200 assets, 800 of which are buses between daily use and back-up preparation, along with mowers, golf carts, and more.
The Challenge
Virginia Beach City Public Schools (VBCPS) is a large school division responsible for 86 school centers and a fleet of over 650 buses on the road daily, with a total of 1200 managed assets. They were using an outdated Windows-based system for fleet management, which was not efficient or effective for their needs. The team was apprehensive about the transition to a new system, fearing loss of old work, having to adapt to new workflows, and learning new screens.
The Solution
VBCPS implemented AssetWorks FleetFocus fleet management software, a modern, web-based solution. The transition was seamless and the team quickly adapted to the new system. The software improved internal communication, particularly between campuses, the FleetFocus system, and mobile teams. The software's licensing allowed for greater accessibility, enabling mobile teams to access the system from any school, effectively serving as hotspots. The software also allowed for customization of reports and forms, easing the transition and saving time. The FleetFocus Data Load Tool was used to transfer old work order data to the new system, ensuring that technicians could still access past vehicle data for diagnostic purposes.
