The customer is a federal organization in the United States. They have the responsibility of maintaining safe and secure operations while providing support to other divisions and responding to emergent events across the country. The organization oversees a large number of assets, approximately 36,000, spread across multiple locations in North America. They have goals and in some cases, mandates to maintain safe and secure operations. The organization needed a system that could provide advanced tracking and security for their assets.
The Challenge
The federal organization had the challenging task of tracking 36,000 unique assets across multiple locations in North America. They were using a legacy asset management system that did not provide the advanced tracking and security they required. The technology infrastructure supporting this system was also beginning to degrade. They needed advanced tracking both related to and not related to work orders, enhanced reporting features for audits, and customizable security clearances.
The Solution
The organization adopted the Allocation and Assignment module within AssetWorks FleetFocus fleet management system. This system allows them to assign all assets to their respective locations and use an install/uninstall process for assets associated with fleet vehicles. For example, when a piece of equipment like a radio is installed to a vehicle, a component relationship is created between the two in FleetFocus. This relationship is maintained until the equipment is removed from the vehicle and sent for repair. The system tracks the movement of the equipment, ensuring a full custody chain is kept. The organization also uses templates within the module to determine which items are assigned to certain employees. The Allocation and Assignment module, paired with FleetFocus’s other features, provides the organization with the customizability and security needed to accurately track and transfer complex equipment assets.
