The company has a strong focus on digitization and is constantly looking for ways to improve their document management process.
The Challenge
Klemens Ott, a roofing company founded in 1960, was facing challenges with their existing document management process. The company's documentation requirements had increased significantly, and the software they were using to digitize their documents was reaching its limits. They needed an innovative document management system (DMS) that would not only guarantee future security with its high functionality and scalability, but would also be highly accepted by both the administration and the roofers working on construction sites. The company was looking for a solution that could easily integrate into their existing IT infrastructure and offer a high degree of adaptability.
The Solution
The company decided to implement DocuWare, a document management system (DMS), to restructure their document management process. The implementation was carried out by a DocuWare Partner, who digitally mapped, tested, and optimized the processes defined in the Quality Management Manual in the system. Existing documents were also imported into DocuWare. The company now uses four main electronic file cabinets for projects, administration, personnel, along with fleet, machinery and occupational safety. Paper documents are digitized using eleven desktop scanners at different workstations. In addition, a standard interface provides integration into an industry solution specially developed for the trade. The company also defined digitization guidelines for all operating areas, ranging from accounting to the personnel department, which now only works with digital employee files.
