It manages reserves of over €15 billion (approximately $22 billion USD) and oversees an extensive portfolio of office properties, including 33 historic and modern buildings. These buildings, covering over 3,000,000 square feet, house numerous employees and a vast array of assets such as chairs, desks, and equipment. The bank's operations require frequent movement of employees and assets, necessitating an efficient system for asset and space management. Banco de España aims to improve its business processes and decision-making capabilities through advanced asset tracking and space management solutions.
The Challenge
Banco de España faced significant challenges in managing its extensive portfolio of office properties, which includes 33 historic and modern buildings comprising 300,000 square meters (over 3,000,000 square feet) of space. The bank needed to effectively track and manage a large inventory of non-human assets, such as chairs, desks, and equipment, which frequently moved along with employees. Additionally, the bank required improved space management functions to simplify move management and enhance decision-making processes. The existing system lacked the necessary accuracy and efficiency, leading to difficulties in asset tracking, space classification, and department allocations.
The Solution
To address these challenges, Banco de España, in collaboration with ARCHIBUS Business Partner ActivaFM, implemented the ARCHIBUS suite of applications. The deployment included ARCHIBUS Space Management, Furniture & Equipment Management, Strategic Master Planning, and Overlay with Design Management for AutoCAD and Revit at its Madrid headquarters. The bank also connected its 22 branch offices to the central ARCHIBUS implementation using Web Central and the Workplace Portal application. This integration facilitated comprehensive asset and space management across all locations. ActivaFM developed software for mobile devices with barcode readers to streamline asset data collection. These devices synchronized asset information with the main database using Visual Basic.Net and Oracle Lite, ensuring accurate and efficient data entry. The new system enabled the bank to inventory, label, and locate 65,000 asset elements on floor plans, optimizing asset surveys and minimizing data entry errors.
