The Challenge
Arcus, an award-winning facilities management company, faced a significant challenge as it grew and evolved. The company had multiple systems of work that emerged to support its activities. However, these systems were not integrated, leading to issues with data entry, information management, and reporting. The lack of a single, integrated EHSQ system meant that different parts of the business could not communicate fluidly. This situation was not only inefficient but also increased the risk of errors and made it difficult to maintain a holistic view of the business.
The Solution
In 2021, Arcus partnered with Info Exchange to develop a single, integrated system that would handle information efficiently, reduce errors, and enable cohesive reporting. This system served as a singular point of control, eliminating duplicate entries and increasing data accuracy. It also facilitated cross-business communication, helping to identify common themes, trends, or issues. The system maintained verifiable audit trails and output reporting, reducing administrative burdens. The integrity of data was ensured as the information was entered once and communicated to all interfaces. The system also allowed for simple research and reporting, with users able to 'drill down' into any known or emerging themes and trends. Training was simplified as users only had to adjust to one system, and system support was streamlined with one vendor responsible for addressing any issues. The single system also reduced costs associated with multiple systems.
