Over the past 40 years, the company has transformed into a high-value company, providing expert business solutions across Bahrain, the region, and the world. Almoayyed's areas of expertise include a wide range of interests in ICT, Business Automation, Integrated Engineering, Safety & Security, Solar Energy, Printing & Marketing, Electrical & Instrumentation, Industrial Packaging, Food & Beverage, and Real Estate Management. The company also serves markets in Saudi Arabia, the United Arab Emirates, Qatar, and Oman.
The Challenge
Almoayyed International Group, a leading family-owned business group in Bahrain, was facing challenges with its document management system. With over 30 business units and 1,700 employees, the company had a complex structure where each business unit had its own paper-based filing system. This led to redundant document storage, with outgoing invoices often printed multiple times. Searching for documents also became a tedious task, as employees had to search in the remote archives of other organizations with different filing approaches. The company was in need of a digital Document Management System (DMS) to streamline its operations.
The Solution
Almoayyed International Group implemented DocuWare, a digital Document Management System (DMS), to streamline its operations. The DMS was used in important central areas such as finance, sales, and human resources. In the financial area, documents from the procure-to-pay and order-to-cash cycle, legal documents, as well as treasury and banking receipts were stored electronically. The human resources department was also completely digitized, with document access fully controlled by DocuWare so that only authorized users could access particular documents. The company plans to further its digitization efforts by exchanging documents with third-party companies via their own customer and supplier portal.
Operational Impact
  • Centralized access to all documents, improving daily business operations.
  • Saved unproductive time previously spent on filing and searching for documents.
  • Freed up storage space that can now be used more efficiently.
  • Improved document security, protecting them from water or fire damage.
Quantitative Benefit
  • Saved 20,000 papers per month from being printed.
