The Challenge
The inability to quantify their space portfolio and automate rent allocation and tracking was a significant problem for Unum from a real estate perspective. Additionally, there were no common standards or audit ability for corrective and preventive maintenance work requests. The company realized it was time to automate its real estate and facilities management functions to eliminate manual facilities management practices based on data contained in Excel spreadsheets. This need for automation was driven by the large user base, continually expanding applications scope, and integration capabilities required to manage their extensive real estate portfolio effectively.
The Solution
Unum chose a Web-based ARCHIBUS implementation as the software platform to standardize and streamline its real estate and facilities management processes. The company implemented ARCHIBUS Real Property & Lease Management, Space, Building Operations, and Furniture & Equipment Management applications. The base system took approximately four months to become operational. Starting with collecting and sharing basic information on property details and facilities operations, Unum integrated and improved process workflows and consolidated standards with a single Web-based system as a portal. This approach allowed for the reduction of legacy systems, improved workflow, and accurate metric reporting.
